Symptom
- Duration of data storage for process-related data such as sales orders, invoices, purchase orders.
- Inquiry regarding whether data is deleted automatically or only through manual intervention via the Information Lifecycle Management work center.

Resolution
To manage the retention and deletion of business documents and personal data in SAP Business ByDesign, follow the steps and guidelines below:
1. Check or Set Retention Periods

- Go to the Business Configuration work center > Implementation Projects view > Select Edit
- Select Open Activity List.
- Go to the Fine-Tune phase.
- In the activities drop-down, search for Business Document Deletion.
- Choose Retention Periods for Business Documents.
- Once the retention period is set, the document will become read-only after the period unless explicitly deleted by the user.
2. Behavior After Retention Period

- After the residence or retention period concludes, documents transition into read-only mode within the system.
- If a natural person requests deletion of their data, the system will permanently remove it.
- Partial data may still be retained for legal reasons or if the process is not yet complete.
