3655426 - Employees included in a Dynamic User List are unable to access the workspace or Private folder and is getting an "Access Denied error"

Symptom

  • All users included in a dynamic member list are unable to access a certain workspace or private folder
  • After adding users to the dynamic list that was used to invite users to a group, newly added users are still unable to access certain workspace or private folders.

Environment

SAP SuccessFactors Workzone

Reproducing the Issue

  1. Log in to Workzone
  2. Access a private folder or workspace
  3. Receives an Access denied error 

Cause

  • Employees who are included in the Dynamic user list are not invited to the Workspace or to the Private folder they are trying to access

Resolution

  • Employees included in Dynamic User Lists cannot access private folders in a workspace unless they are specifically invited to the workspace. The access to private folders is limited to user lists that were invited to the workspace, which is by design. Therefore, even if employees are part of a Dynamic User List, they will not have access to the private folder unless they are included in the invitation list for the workspace or Private folder. 

  • You can use the dynamic list to invite people, but adding people on the dynamic list after sending out the invite doesn't mean those newly added users are automatically added to the group. You still have to send an invite to those users for them to be able to access certain workspace or private folders.

  • If you assign a user list to a specific workspace, all users on the list are assigned to this workspace. If you've set up a user agreement (terms of use) for the workspace, the users have to accept the terms of use before they can access the workspace. You can use this feature, for example, for workspaces that are designed to broadcast required information to specific parts of your organization, such as departments or specialist groups.

     Assign a user list to a workspace as follows:

  1. In the workspace, choose +Invite and switch to the User Lists page tab.

  2. In the Add User List text box, type the name of the user list into the text box.

  3. Click Save.
