3655971 - Retention Period behavior for Employee Time Records in DRTM

Symptom

  • An absence retention group object is assigned to a Time Type which has retention period setup for 2 years.
  • Soon after terminating the employee, there are employee Time records showing as Marked as "TO BE PURGED".
  • It seems there is different criteria observed for Time Management and Person Information purge.

Environment

  • Employee Central Time Off
  • Data Retention Time Management

Reproducing the Issue

  1. Define retention periods for DRTM purge jobs based on user Company Exit date.
  2. Terminate a user and observe the purge job already contains some of their Employee Time records, even if they were only recently terminated.
  3. Check if leaves older than the defined retention period are purged immediately after termination.
  4. Compare behavior for Time Management Job and Person Information Job.

Cause

Employee Time records are purged based on their start and end dates relative to the retention period.

Resolution

  1. For Time Management Job:
  • Leaves are purged if their start and end dates are older than the retention period relative to the termination date.
  • Example: If retention period is 2 years and termination date is January 1, 2025, only leaves which have their start and end date before January 1, 2023 will be purged.
