3660661 - Change Audit Reports - Cannot Find All Candidates as External Candidate Search is Limited to Top 100 Results - Recruiting Management

• Unable to create change audit reports for all candidates due to the External Candidate Search being restricted to the top 100 matches. 
• This limitation prevents candidates outside the top 100 from appearing in search results.
• This issue is more prevalent for CJK languages (Chinese, Japanese, Korean).

SAP SuccessFactors Recruiting Management

1. Go to Change Audit Reports > Create Personal Data Report.
2. Click the 'External Candidate Search'.
3. Search using the candidate's first name and last name.
4. Observe that no result appears.
5. Search using only the candidate's first name.
6. Observe that the search retrieves only the top 100 results, sorted alphabetically. Candidates outside of this range do not appear.

Due to the current design limitation, the external candidate search functionality returns only the top 100 results.

An enhancement to address this topic is planned for the 1H 2026 release (b2605). This article will be updated with additional details once they become available.

Workaround

As a temporary workaround, raw Read Audit data can be retrieved from the backend. If urgent audit data is required for candidates not appearing in the UI search due to this limitation, please open a Support ticket and provide the following information:

1. Company ID
2. Support access
3. Steps to reproduce the issue
4. A list of candidate names and candidate IDs
