3665055 - Error "Ship-to party XXXX cannot be used (log)" when creating a Sales Order in SAP S/4HANA Cloud Public Edition

• The system displays the error message "Ship-to party XXXX cannot be used (log) " when attempting to create a sales order.
• The "OK" button is greyed out, preventing item entry in the sales order.

SAP S/4HANA Cloud Public Edition

1. Open the Create Sales Order App (VA01).
2. Enter the following details:
   • Order type.
   • Sales Organization.
   • Distribution Channel.
   • Division.
3. Press Enter.  
4. In the Sales Order Header – Initial Screen, enter the Sold-to Party.
5. Enter the Ship-to Party.
6. Press Enter.
7. The system displays the warning message "Ship-to party XXXX cannot be used (log) " and prevents further item entry.

• The Ship-to Business Partner is not extended to the relevant Sales Area (Sales Organization / Distribution Channel / Division) with the Customer (Sales and Distribution) role.
• Even though the Business Partner has the Ship-to Party role, this alone does not make it valid for use in Sales Orders. To participate in SD transactions, all partners (Sold-to, Ship-to, Bill-to, Payer) must exist as Customers within the same Sales Area.

Extend the Ship-to Business Partner with the Customer (Sales and Distribution) role for the relevant Sales Area.

Resolution Steps

1. Open the Maintain Business Partner app.
2. Search for the relevant Business Partner (Ship-to).
3. Click Switch Between Display and Change to enter Edit mode.
4. In the Roles section, add Customer (Sales and Distribution).
5. When prompted, enter the correct Sales Area (e.g. Sales Org XXXX, Distribution Channel YY, Division ZZ).
6. Maintain required data:
   •  Sales tab: Only if applicable
   •  Shipping tab: Delivery priority, shipping conditions, etc.
   •  Partner Functions tab: Ensure “SH – Ship-to Party” is listed
7. Save your changes.

After saving, the Ship-to party can be used in the Create Sales Order app without triggering the error.

Additional Information

•  The same principle applies to Bill-to and Payer partners.
• The required data may vary depending on configuration and mandatory field settings in the sales area.
•  If the Customer (Sales and Distribution) role is not available, contact your system administrator to ensure the role is active in the Business Partner role configuration.
