3668039 - Standard Functionality to Identify and Block Vendors with No Transactions in the Past 12 Months

Symptom

To identify vendors who have had no transactions in the last 12 months and to automatically block such vendors. Standard applications such as Display Supplier Line Items and Display Supplier Balances only show vendors with existing transactions and do not indicate inactivity.

  • SAP S/4HANA Cloud Public Edition

Cause

The system does not provide a standard report or app that directly identifies vendors with no transactional activity over a defined period. Additionally, there is no automated functionality in the standard system to block vendors based on inactivity.

Resolution

SAP S/4HANA Cloud Public Edition does not provide a standard app or report to directly identify suppliers with no transactions in the past 12 months, nor does it support automatic blocking of such suppliers. Supplier blocking remains a manual process and can be performed using the Manage Supplier Master Data or Business Partner apps.

Possible Workaround:

  1. Download the supplier master list and compare it with the supplier line item report to identify vendors without postings in the last 12 months.
  2. Use the Analytical Queries framework to design a custom report highlighting inactive suppliers. Refer to: Invoice Processing Analysis | SAP Help Portal.
  3. Create a Custom CDS View by joining supplier master data and supplier line items.
  4. Build a Custom Analytical Query on top of the CDS View to list vendors with no postings in the past 12 months.
  5. Use this report periodically to identify inactive vendors.
  6. Perform manual blocking in supplier master data based on the report output.
