3668522 - Deletion approval task not appearing in My Inbox when requester and approver are the same user in the approval workflow

Symptom

The task to approve or reject a deleted condition record does not appear in the "My Inbox" App for the designated approver.

As a result, the approval workflow for the condition record deletion cannot proceed.

 

Environment

SAP S/4HANA Cloud Public Edition

Reproducing the Issue

  1. Open the "Manage Sales Prices Workflows" app.
  2. Create a new workflow and define the workflow name, start conditions, steps, and recipients.
  3. Save and activate the workflow.
  4. Open the "Manage Sales – Prices" app and filter the required parameters.
  5. Select a condition record and click Delete.
  6. Open the "My Inbox" app and check for the approval task related to the deleted condition record.
  7. Observe that no approval task appears in the approver’s inbox.

Cause

 

This issue occurs when the requester and the approver are the same user.

In the current workflow design, the system does not generate an approval task in cases where both actions (deletion request and approval) are performed by a single user.

Resolution

This behavior is as designed in the current SAP S/4HANA Public Cloud workflow framework.

If business requirements require a single user to perform both roles, a custom workflow configuration or process adjustment may be needed.

To proceed, ensure that the requester and approver are different users:

  1. Log out of the system.
  2. Log in with a different user account that has the requester role.
  3. Perform the deletion operation and submit the approval request.
  4. Log in as the approver and open the My Inbox app.

The deletion request should now appear for approval.

 

 If the issue persists and the deletion approval request remains unavailable in the My Inbox of the approver, the following workaround can be applied:

  1. Log in with a user assigned the Administrator role.
  2. Open the “Flexible Workflow Administration” app.
  3. Locate the workflow instance related to the Deletion request.
  4. Click the “Cancel Workflow” button to terminate the current workflow instance.
  5. After cancelling the workflow, log in as a non-approver user and perform the deletion operation again to trigger a new approval request.
  6. Log in as the approver and verify that the deletion request now appears in the My Inbox

 

It is recommended to define multiple approvers in the workflow configuration.

This ensures that if an approval request is accidentally triggered by an approver user, the other approvers in the list will still receive the task and can proceed with the approval or rejection as required.
