3668721 - The Logic of Sender Display Name - SuccessFactors Learning

Symptom

  • Learning Administration > System Administration > Configuration > Global Application Settings > Mail page: Admin Email Display Name, User Email Display Name, Default Display Name
  • Admin wants to know the detailed logic about how the above fields get applied.

Environment

SAP SuccessFactors Learning 2H 2025

Resolution

System will apply the sender name according to the sender address. And the priority is as follows.

Step 1: System checks if the From email address matches Application Notification Admin Email set at the Mail page.

If it doesn't match, system continues to perform Step 2.

If it matches, Admin Email Display Name will be applied. 

And if Admin Email Display Name is blank, system continues to perform Step 3.

Step 2: System checks if the From email address matches Application Notification User Email set at the Mail page.

If it doesn't match, system continues to perform Step 3.

If it matches, User Email Display Name will be applied.

And if User Email Display Name is blank, system continues to perform Step 3.

Step 3: Default Display Name will be applied.

If Default Display Name is blank, the From email address will be displayed only, and there will be no sender name.

Note 1: The steps also work for ad-hoc notifications.

No matter the From email address for ad-hoc notification is admin address, or selected from list, it goes through the above 3 steps and sender name gets applied accordingly.

Note 2: The usage of sender name is not required, but optional. 

Customer can choose to set it or leave it blank freely, based on business needs.

Note 3: For manager notifications, system prioritize the manager names over admin configured names. 

This lets subordinates know that the email is from their manager, which creates urgency and a more personalized experience, even if Use Application Notification User Email for manager email notifications or Enable Email Domain Validation is enabled. 

Note 4: As per the above steps, in case customer sets a same email address for both Application Notification Admin Email and Application Notification User Email, there will be no way to trigger an email which shows User Email Display Name since Admin Email Display Name is the first to get checked in Step 1, and thus takes highest priority.
