3672736 - Unable to Cancel or Delete Central RFQ when related Central Supplier Quotation exists

Symptom

  • When attempting to cancel or delete a Central RFQ, the system displays the message:
    “To cancel central RFQ, cancel all related central quotations first.”

  • The Delete option is disabled, and the RFQ cannot be removed even when no further processing is required. 
  • In Manage Central Supplier Quotations, related quotations exist in the system and cannot be deleted because they are in Awarded status. 

Environment

SAP S/4HANA Cloud Public Edition

Reproducing the Issue

  1. Create a Central RFQ in Manage Central RFQs.

  2. Replicate the RFQ to SAP Ariba Sourcing through integration.

  3. Complete the sourcing event in Ariba and award a supplier.

  4. The awarded quotation replicates back to S/4HANA Cloud in Awarded status.

  5. Attempt to cancel or delete the Central RFQ.

  6. The system displays the message:
    “To cancel central RFQ, cancel all related central quotations first.”

Cause

  • This behavior is standard system design.
  • A Central RFQ and its related Central Supplier Quotations are dependent business objects.
  • The system prevents deletion or cancellation of the RFQ while related quotations are active or finalized.
  • When a quotation reaches the Awarded status (for example, after replication from Ariba), it becomes a finalized commercial record.
  • This restriction is part of the standard process control and not a defect.

Resolution

Root Cause: 

  • The system prevents RFQ cancellation or deletion because one or more related Central Supplier Quotations are in Awarded status.
  • Awarded quotations are system-protected to maintain data consistency between SAP S/4HANA Cloud and SAP Ariba Sourcing.

Actionable Steps:

  1. Open the Manage Central Supplier Quotations app.

  2. Identify all quotations linked to the Central RFQ.

  3. Verify the status of each quotation:

    • If any quotation is in Awarded status, cancellation or deletion of the RFQ is not permitted.

    • Only quotations in Cancelled or Rejected status allow the RFQ to be cancelled or deleted.

  4. After confirming all quotations are inactive (Cancelled or Rejected), open the Manage Central RFQs app.

  5. Select the RFQ and perform Cancel or Delete.

Limitations / Notes:

  • Applicable to integration scenarios where quotations are replicated automatically from SAP Ariba in Awarded status.

  • RFQs linked to awarded quotations cannot be cancelled or deleted through the UI or via standard APIs.

  • This is standard system behavior and not an application error.
