3673776 - System posts entitlements upon termination - SAP SuccessFactors Employee Central Time Off

Symptom

System is posting entitlements on users' termination.

Accruals are generated during termination based on employee's next scheduled accrual date.

Environment

  • SAP SuccessFactors Employee Central
  • SAP SuccessFactors Employee Central Time Off 

Reproducing the Issue

  1. Terminate a user with a termination date earlier than their next accrual entitlement date.
  2. Go to Administer Time
  3. Observe that the system posts the next scheduled accrual amount as of the termination date.
  4. Go to Manage data and see if the Time Account Type has the following configuration:

    Account Creation Type = Recurring
    Level of Accrual Automation = Automatic Accrual Creation
    No Termination Rule assigned
    Only the Accrual Rule assigned


Cause

When Termination Processing is triggered and no Termination Rule is assigned to the Time Account Type, Employee Central Time Off falls back to the default logic, based on the automation setup:

1) Since Automatic Accrual Creation is enabled, the system looks for any pending accrual dates.

2) During termination, if no Termination Rule exists, there are no instructions telling the system whether to create or skip the future accruals.

3) Therefore, by design, the system posts the next scheduled accrual as of the termination date — assuming the employee should receive their remaining entitlement before leaving.

In short: without a termination rule, the system interprets that it must execute the upcoming accrual on the termination date.

Resolution

The Termination Rule specifically defines what should happen at the moment of termination, such as:

  • Post a pro-rated accrual up to the termination date
  • Post the full remaining accrual in advance
  • Cancel future accruals
  • Adjust or zero out the final balance

Since this Time Account Type doesn’t have one, the system simply follows the Accrual Rule logic — which generates the full yearly accrual — and executes it immediately upon termination.

Please note that the Termination End Handling only defines what happens to the validity or bookable period when an employee is terminated, for example:

“End Time Account on Termination Date” or “End Bookable Period on Termination Date”

It closes the account validity, but it does not control accrual creation.

So even with Termination End Handling in place, the system still needs a Termination Rule to know whether to post or skip accruals.

As a resolution for this issue, you must create a termination rule to define what should happen at the moment of termination, after that, the system will be able to identify, based on the rule logic created, what should be done.
