3681538 - Candidate not sent to MPH after onboarding initiation when auto complete task exists - Onboarding

Symptom

  • You have a process variant which contains no steps except New Hire Activities
  • You expect candidate to be sent to MPH after onboarding initiation as no process steps are required to be completed however candidate is not sent to MPH
  • You have an Auto-Complete task configured in your new hire activities program
  • Candidate is not sent to MPH.
  • Hire Status is not updated to Ready To Hire or Ready to Recruit

Reproducing the Issue

  1. Initiate a candidate from RCM or manually.
  2. Ensure the Process Variant has only NHA as a step.
  3. Verify that the NHA Program contains an auto-complete task.
  4. Observe that the candidate is not sent to MPH, and the hire status is not updated to "Ready to Hire".

Cause

This process involves two Business Process Engine (BPE) flows executing in parallel:

  • The first flow integrates with the Applicant Tracking System (ATS) and is responsible for updating the process hire status to READY_TO_HIRE.
  • The second flow handles new hire activities creation, which includes updating the process object with aggregated details. This update can revert the hire status to NOT_STARTED.

Due to these flows running on parallel threads, each process update remains unaware of the other, leading to potential mismatches in hire status.

Resolution

Product Engineering is in the process of creating a technical debt item to address this issue. The goal is to design a new approach that effectively manages and synchronizes updates from parallel threads, ensuring consistency in hire status and preventing mismatches.

In the interim, please be aware of this behavior and manually verify the hire status after initiation or continue to utilize workaround. We will provide updates on the progress and resolution of this issue as they become available through this KBA.

Workaround

Revert the configuration of the onboarding task program, having no auto complete task until solution advised.
Please have new hire activities as manual complete tasks and monitor KBA for updates.
