3685470 - Automatic release workflow and postings under system user SAP_WRFT in Service Entry Sheets

• During the creation and approval of Service Entry Sheets in SAP S/4HANA Public Cloud system, the release workflow is executed automatically, and postings are performed under the system user SAP_WRFT.
• Can the SAP_WRFT user’s time zone or personal settings be adjusted or if this behavior can be influenced through configuration.

SAP S/4HANA Cloud Public Edition

1. Create a Service Entry Sheet in the SAP S/4HANA Public Cloud system.
2. Observe that the release workflow is executed automatically.
3. Confirm that postings are performed under the system user SAP_WRFT.

SAP_WRFT is a technical system user delivered by SAP and used internally by the workflow engine for automated approvals and background postings. This user cannot be modified, and its time zone, personal settings, or parameters cannot be changed in S/4HANA Cloud.

1. Disable automatic release in the SES workflow and route approval to a business user. In this case, approvals and postings will reflect the time zone and identity of the assigned approver.
2. Add a human approval step before the automatic release if audit traceability is required. This ensures that the business decision is attributed to a real user while SAP_WRFT only performs the final system posting.
