3687243 - Multiple Time Accounts Created due to Job Information Changes

Symptom

When a Job Information change is made for a user, a time account is created with a start date aligning with the effective date of the job info change.

  • Multiple job info changes result in multiple time accounts being created for the user, each with the same name, e.g., Vacation 2025.
  • The time account type of the time accounts is recurring and uses a flexible account start date rule for the Account Creation Start Date. The flexible account start date rule also uses the Time Account Type Date Reference object.

Environment

Reproducing the Issue

  1. Go to Administer Time for the user. Click on the time accounts tab.
  2. Note that there are multiple time accounts of the same time account type with the same name, e.g. Vacation 2025.
  3. Note the start date of the time accounts.
  4. Go to the user's job info history.
  5. Observe that the start date of the time accounts aligns with the effective date changes made in job info, e.g. change of Manager/Supervisor.

Cause

  1. The employee was initially hired without any time information assigned to them in job info.
  2. The most recent job info slice was then updated first with time information, followed by updates to the second most recent slice (and so on) and finally the initial hire record.
  3. These updates resulted in multiple slices for the Time Account Type Date Reference object for the user.

The Time Account Type Date Reference object is used in the flexible account start date rule for account creation, causing time accounts to be created with start dates matching the effective dates of job info changes.

Resolution

  1. Navigate to Manage Data > Time Account Type Date Reference.
  2. Search for the affected user's ID.
  3. Delete the most recent records and retain only the record that aligns with the hire date. This will clean up the time accounts.

Note: Always ensure that the 'Hire' job info slice is updated first with the time information, rather than the most recent job info record.
