3688438 - Time sheet error due to adjusted hire date in onboarding process in sap successfactors onboarding

• Internal candidate is not appearing in the onboarding process due to a BPE error.
• Error message: "You cannot make this change to the effective start date because time sheets already contain data before the new effective start date."
• Additional error details: "There is already a hire record for user. You cannot create another hire record if one already exists. You cannot create a job information record before the effective start date in the hire record."
• Sometime sheet entries are approved, while others are marked as "To Be Submitted".
• Direct deletion of time sheets is risky as it may impact payroll.

• SAP SuccessFactors Onboarding

1. Navigate to Manage Data → Employee Time Sheet.
2. Search for the affected employee.
3. Observe multiple time sheet entries with varying approval statuses.
4. Attempt to create or update a Job Information record in Onboarding for the employee.
5. System throws the BPE error: "You cannot make this change to the effective start date because time sheets already contain data before the new effective start date."

• Known issue where time sheets are created for the planned hire date during the onboarding process. If the hire date is adjusted to a later date, time sheets created before the new hire date cause conflicts, resulting in the BPE error.

1. Delete time sheets with a start and end date before the hire date, as they contain no data and do not impact payroll.
2. For time sheets that overlap the hire date, adjust the start date to match the employee's actual hire date. Ensure these entries contain no data for days prior to the hire date.
3. Engineering is working on a permanent fix to prevent this issue from occurring in the future. The fix is tracked under internal reference TIM-53303, which will stop time sheets from being created when the hire date is moved within the onboarding workflow.
