Symptom
When attempting to terminate an employee through Personnel Administration Regular Task, the system displays the message "Changing the termination date is not allowed. Use Personnel Administration → Employee to change the termination date."
Environment
SAP Business By Design
Reproducing the Issue
- Navigate to Personnel Administration.
- Select Regular Tasks.
- Choose "Terminate Relationship with Employee."
- Select the employee and enter the termination date.
- System shows the error message regarding changing the termination date: "Changing the termination date is not allowed. Use Personnel Administration → Employee to change the termination date."
Cause
The termination date was manually updated to a specific date, which caused the system to block the termination process with missing termination category and reason.
Resolution
- Navigate to Personnel Administration Work Center.
- Search and select the affected employee from the employee list.
- Click Edit to open the employee personnel file.
- Check the existing termination date. If it is set as ZZZZ.YY.XX (where XX = Day, YY = Month, ZZZZ = Year), change the termination date to 9999.12.31 to set unlimited validity, then select Save and Close.
- Return to Personnel Administration and Click Regular Tasks.
- Select Terminate Relationship with Employee, enter the required termination date and specify the termination reason.
- After updating the validity to unlimited, the system correctly triggers termination category and reason fields, and the termination process completes successfully.
