3692275 - Approval workflow behavior for Purchase Scheduling Agreements and Workflow Restart Conditions

Symptom

  • Approval status on the Scheduling Agreement (SA) schedule release documentation is requested.
  • Inquiry regarding notification to the approver via MY inbox upon changes to SA schedule lines.
  • Confirmation sought on whether the updated SA schedule lines will require release again.

Environment

SAP S/4HANA Cloud Public Edition

Cause

  • The approval workflow applies only to the Scheduling Agreement header.
    Schedule line releases (forecast/JIT releases) are logistics output documents and are not workflow-relevant.

  • SAP provides configuration “Manage Conditions to Restart Flexible Workflow for Purchase Scheduling Agreements”.
    Only specific header-level and item-level fields can trigger a workflow restart when modified in an already-approved SA.

  • Schedule line fields are not included in the list of workflow-relevant attributes.
    Therefore, schedule line changes do not trigger workflow restart or generate My Inbox tasks.

Resolution

1. Scheduling Agreement header supports approval workflow. The following statuses apply to the Purchasing Scheduling Agreement header:

  • Not Yet Relevant
  • In Approval
  • Rejected
  • Not Yet Sent
  • Sent
  • Follow-On Documents
  • Deleted
  • Output Error
  • Expired

These statuses appear in Manage Purchase Scheduling Agreements and determine workflow behavior.
The workflow applies to the SA header document only.

2. Workflow Restart is triggered only for specific SA fields. Using SSCUI: Manage Conditions to Restart Flexible Workflow for Scheduling Agreements the following attributes can trigger a workflow restart when changed in an already-approved SA (if the "Enable Restart" checkbox is ON):

Header-Level Fields

  • Purchasing Group 
  • Total Net Order Value 
  • Incoterms
  • Currency

 Item-Level Fields

  • Material Group
  • Plant

When any of these values change, the system returns the SA to In Approval, and the approver receives a new task in My Inbox.

3. Schedule line changes are not Workflow-Relevant. The restart configuration does not include schedule line fields.
