Symptom
- The email notification sent to the recipient contains additional attachments that are not configured in the Email Template settings.
- When reviewing the configuration, only specific documents are selected, but the actual email includes extra, unwanted files.
Environment
SAP SuccessFactors Onboarding.
Reproducing the Issue
- Navigate to Email Services > Manage Email Template.
- Open the desired template and go to Set Up Rules > Select Attachment Rules.
- Ensure only one rule is selected/configured to attach documents.
- Save the changes and trigger the email.
- Check the Email Status or the received email; verify that additional, unrequired documents are attached alongside the correct document.
Cause
There is a data discrepancy between the Email Services UI and the Manage Data object.
- Even though only one rule is visible in Email Services, a second, unwanted rule is still associated with the EmailTemplate object in Manage Data.
- Consequently, the system triggers both rules, pulling in extra documents.
Resolution
To resolve this issue, the incorrect rule must be removed manually via Manage Data:
- Navigate to Manage Data.
- In the first search box, search for EmailTemplate.
- In the second search box, search for and select the affected Email Template.
- Click on Take Action > Make Correction.
- Scroll down to the field labeled templateAttachmentRules.
- You will see multiple rules listed here (whereas the UI only showed one). Identify and erase the unwanted rule.
- Click Save.
- Restart the candidate process or create a new test candidate to confirm that only the correct documents are now attached.
