3694965 - Mismatch between counts in Manage Login Accounts and Manage Users in SuccessFactors

Symptom

  • Customers notice a mismatch between the number of records shown in Manage Users and the number of login accounts shown in Manage Login Accounts.
  • The number of active users displayed in Manage Login Accounts does not match the number of active users in Manage Users.

  • Customer reports that the total user count differs between Manage Login Accounts and Manage Users.

  • The number of login accounts appears lower than the number of users maintained in Manage Users.

  • Some users appear in Manage Users but are not listed in Manage Login Accounts.

  • A login account shows as active even though only one of the underlying user records is active.

  • Customer believes there is a system defect because the login account count does not match their employee population.

Cause

This behavior is expected. User count and login account count represent different concepts in the data model and should not be compared directly.

Resolution

1. Person (Natural Person)

A person represents a real individual.

  • A person serves as the root entity for employment history.

  • A person may have one or multiple user records.

2. User (Employment Record)

A user represents an employment instance.
A person may have more than one user record in cases such as:

  • Concurrent Employment

  • Global Assignments

  • Multiple employment relationships

Because of this, the number of users can be higher than the number of persons or login accounts.

3. Login Account

A login account is the authentication identity used to access SuccessFactors.
Key points:

  • One person has only one login account, regardless of how many user/employment records they have.

  • A login account becomes active when the person has at least one active user.

  • Therefore, the number of login accounts is not designed to match the number of user records.

4. Special Case – No Login Account

There are scenarios where a person (for example, dependents in Employee Central) does not have a login account, because:

  • They do not require system access

  • They exist only as related or dependent data records

In these cases, the user count and login account count will naturally differ even more.

Summing up, “user” and “login account” refer to different entities, their counts will not match.

Customers should not compare user counts in Manage Users with login account counts in Manage Login Accounts.

This is expected system behavior and not an issue.
