Symptom

  • No attachment sent in email notification with trigger '(ONB) Documents signed by New Hire.' using a business rule under scenario 'Add Dynamic Documents as Email Attachments'.
  • Result in the back-end logs: List of attachments found in DMS: []

Environment

SAP SuccessFactors Onboarding

Reproducing the Issue

  1. Configure a business rule under scenario:  Add Dynamic Documents as Email Attachments, to attach in the email a specific document
  2. Add the rule in an email template with trigger: (ONB) Documents signed by New Hire
  3. Onbordee completes the e-Signature task
  4. The email is sent with no attachments

Cause

  • There is special character in the document title that caused the system to fail in locating the attachment during email generation.

  • For example:
  1. Document name: Terms & Conditions
  2. The system attempts to find the document "Signed_Terms & Conditions" to attach in the email notification
  3. In Onboarding dashboard > onbordee > Actions > Onboarding Documents
  4. The document name is "Signed_Terms & Conditions"
  5. The special character & caused the issue

Resolution

  1. Remove the special character from the document title in Admin Center > Maintain Onboarding and Offboarding Document Templates
  2. For example: 'Terms and Conditions' instead than 'Terms & Conditions'
  3. Update the dynamic attachment rule to reflect the updated document name
  4. Restart the onboarding process and ensure the e-signature task is completed
  5. Email (ONB) Documents signed by New Hire sent with the correct attachment
