3708974 - Unable to locate candidates using personal email in dashboard - Onboarding

Symptom

  • Admin is unable to locate any candidates in dashboard using personal email.
  • When searching for business email, First or Last Name, the candidate is visible.

Environment

SAP SuccessFactors Onboarding.

Reproducing the Issue

  1. Attempt to search for candidates in the dashboard using their personal email.
  2. Observe that candidates are not found.
  3. Search for candidates using their first and last names or business email.
  4. Observe that candidates are successfully located.

Cause

This behavior occurs because the candidate has already been hired. This is the intended system behavior:

  • Pre-hire: The candidate is searchable via their personal email.
  • Post-hire: The candidate is no longer searchable by their personal email; instead, they must be searched for using their business email.

Once the hiring process is complete, the candidate's profile converts from Onboardee to Employee. At this stage, the business email is considered the primary contact method.

Resolution

Post-hire, locate the candidate by searching for the business email address listed in their Employee Profile.
