3713400 - Maintain Onboarding and Offboarding Document Templates error - ChangeSet index 1 - ???HCP Error Message: Http Status Code 400???;File could not be uploaded to PFS - Onboarding

SAP SuccessFactors Onboarding

1. Navigate to Maintain Onboarding and Offboarding Document Templates
2. Click on add new document template
3. Upload the document
4. Select any id, process type, name and category
5. Make sure to select the locale as "English (DEBUG)"
6. Upload
7. Encounter the error message

(or)

1. Attempt to reupload a document in "Maintain Onboarding and Offboarding Document Templates".
2. Observe the error: "ChangeSet index 1 - HCP Error Message: Http Status Code 400; File Could not be updated in PFS."

Cause 1: The document was uploaded with the locale English (DEBUG)

Cause 2: The issue occurs because the document template was created with a Form ID that does not comply with the standard requirements.

Solution 1: Upload the file in other language than English (DEBUG)

Solution 2: In SAP SuccessFactors Onboarding, the Form ID:

• Must not exceed 50 characters.

• Must contain only letters, numbers, or underscores (_).

• Becomes read-only after the document template is created and cannot be modified.

Since the Form ID cannot be updated after creation, the document template must be recreated using a compliant Form ID.

When trying to delete if you get the error: ChangeSet index 1 - Deletion of Template not allowed! At least it is used in active process XXXXXX, This means that there is an active onboarding process and please do complete the below steps:

1. Navigate to Manage Data.

2. Select the Process object.

3. Search for the Process ID displayed in the error message.

4. Verify that the process is active.

5. Select Take Action → Make Correction.

6. Update the process status to Completed.

7. Save the changes.

8. Navigate back to Admin Center → Maintain Onboarding and Offboarding Document Templates.

9. Delete the existing document template.

10. Create a new document template using a Form ID that complies with SAP requirements.

After creating the new template, ensure that:

• All required placeholder mappings are recreated.

• Any business rules referencing the previous Form ID are updated.

• Any onboarding process flows or configurations referencing the old template are updated accordingly.
