Symptom
The approval process is not triggered for the Sales Quote, even though an approval process is maintained at the Sales Unit level.
Environment
SAP Business ByDesign
Reproducing the Issue
- Go to the New Business work center.
- Go to the New Sales Quote common task.
- Create the document, with the Sales Unit AAA and click on Submit button. (AAA represent the Sales Unit ID which is not maintained in the approval process)
- Sales Quote XYZ is created. (XYZ represents the Sales Quote ID)
- Then, you have changed the Sales Unit ID to BBB, and click on Submit button again. (BBB represent the Sales Unit ID which is maintained in the approval process)
- Approval is not triggered.
Cause
When a Sales Quote is initially created with a Sales Unit (AAA) that is not maintained in the approval process, the Approval Status field is set to “Approval Not Necessary” at the backend.
Even if the Sales Unit is later changed to one maintained in the approval process (BBB), the system does not re-evaluate the approval status, as this value is permanently set during creation.
Resolution
This is the expected system behavior of SAP Business ByDesign.
As per standard SAP design, if an approval is expected, the Sales Quote must be canceled and a new document created with the correct Sales Unit that is maintained in the approval process.
