3717988 - Self-billing (ERS) for the Belgium 2026 e-Invoicing mandate in SAP Business ByDesign

Symptom

You want to understand how self‑billing (ERS) is supported in SAP Business ByDesign for the Belgium 2026 e‑Invoicing mandate, specifically regarding the creation, transmission, and posting of EN‑16931‑compliant self‑billing invoices exchanged via email.

Environment

SAP Business ByDesign

Resolution

In Customer Books of Account:

  1. You receive goods from a supplier,
  2. You create an ERS invoice (Self‑Billing):
    • Either manually, or
    • Automatically from a purchase order (PO),
  3. Once the ERS invoice is posted:
    • The system sends the invoice via email,
    • The email attachment is having PDF invoice as well as XML file which is compliant with EN16931 standard.

In Supplier Books of Account:

  1. You receive an XML file as well as PDF copy of the self‑billing invoice from your customer by email,
  2. You post this invoice in your accounting system as a sales invoice, using the self‑billing indicator,
  3. When you select the self‑billing indicator:
    • A different invoice ID is created for this self-billing invoice (sequential document number (SDN))
    • This allows you to distinguish self‑billing invoices from normal invoices.
    • This ensures that your supplier-side sales invoice is not transmitted as an e-Invoice through the Peppol network, i.e. this avoids duplicate electronic invoices for your customer.

Result:

  • You are compliant with Belgian e‑invoicing rules.
  • Self‑billing is supported, the supplier receives the invoice via PDF as well as XML file through email and records it manually
