Symptom
A user creates a Purchase Requisition (PR) before their absence. A substitute is maintained in My Inbox or Workflow Administration for that user’s approvals. However, when the substitute logs in and uses the Confirm Receipt of Goods – New app with “Confirm on Behalf” checked, the PR is not visible or accessible for goods receipt posting.
Environment
SAP S/4HANA Cloud Public Edition
Reproducing the Issue
- Create a purchase requisition and purchase order as a user.
- Set a planned substitution rule for the user via "Workflow Administration."
- Log off and re-enter the system as the substitute user.
- Attempt to confirm goods receipt for the purchase requisition in the "Confirm Receipt of Goods - New" app using the "Confirm on Behalf" checkbox.
Cause
Substitution maintained in My Inbox or Workflow Administration only applies to workflow tasks such as approvals and does not extend to self-service transactional apps like Confirm Receipt of Goods – New or My Purchase Requisitions.
The BAdI MM_PUR_SSP_PR_GET_CONF_OB_USR cannot be used to extend workflow substitution to transactional responsibilities because:
- The apps check document ownership and authorization based on the original creator or business role
- Workflow substitution does not change document ownership or authorization context
- Standard SAP Cloud design deliberately separates workflow substitution and transactional access
Resolution
This is a system behaviour. SAP S/4HANA Cloud Public Edition does not support using My Inbox substitution to grant transactional access for goods receipt posting on behalf of another user.
