Symptom

  • Background element fields are not syncing from the Candidate Profile to the Employee Profile for Internal Users.
  • The background element field data entered in the Candidate Profile (Education/Qualification and Previous Employment) is not reflecting in the Employee Profile once the candidate is hired through Manage Pending Hire.

Reproducing the Issue

  1. Create a job requisition.
  2. Post the job and apply using a new candidate.
  3. Upon login, the Candidate Profile opens. In the Candidate Profile, navigate to the Education/Qualification and Previous Employment sections, which are derived from background elements.
  4. Enter the required details in these sections.
  5. The candidate then moves to the Talent Pipeline and completes the Recruiting Management (RCM) process.
  6. Initiate onboarding and complete all onboarding tasks.
  7. The candidate moves to Manage Pending Recruits.
  8. Once the candidate is hired and an Employee Profile is created in Employee Central (EC), the Education/Qualification and Previous Employment data entered in the Candidate Profile does not appear in the Employee Profile.

Cause

  • Candidate profile conversion did not take place.
  • When a candidate is hired, a job runs to convert the external candidate profile into an internal candidate profile. Upon reviewing the case, it was identified that this profile conversion did not occur, leading to the absence of synchronization.
  • SM-Mapping transfers data from the internal candidate profile to the employee profile. However, since only an external candidate profile exists in the system and it has not been converted to an internal profile, the synchronization does not occur.

Resolution

  1. Review the system configurations to determine why the candidate profile was not converted during the hiring process.
  2. Ensure that the "External to Internal Profile Conversion" job is configured and activated in Provisioning.
  3. Refer to 2249476 - External to Internal Candidate Profile Conversion - Recruiting Management - SAP for Me for detailed guidance on setting up this job.
  4. Verify that the candidate's background element data (e.g., education, work experience) exists in the Recruiting profile before the hiring process begins.
  5. Review actions taken during the Manage Pending Hires (MPH) step to identify whether background information was edited or removed.
  6. Limit edit access in MPH to authorized personnel to avoid accidental data deletion.
  7. For candidates already hired, manually add the background element details to the Employee Profile, as the settings for the conversion job will apply only to future hires.
