3733909 - DRTM employment information purge fails for "select one user" with mdf custom objects showing "failed 0 of 1 approved" at approval stage

• Purging MDF object data using DRTM Employment Information Purge with subject criteria "Select one user" fails.
• The purge request does not proceed to approval and appears under Purge Progress & Results with status "Failed" and shows "0 of 1 approved".
• The same purge works when using legal entity or country-based retention criteria.
• When customers configure retention time country/region with an inactive Country/Region

• SAP SuccessFactors HCM Suite
• Metadata Framework (MDF)

1. Go to Data Retention Management and create a new purge request.
2. Set Type to DRTM Employment Information Purge.
3. Set Subject Criteria to Select one user.
4. Select Purge Object(s) = MDF Custom Objects and add an approver.
5. Launch the request immediately.
6. Open Purge Request Monitor and check Requests Pending Final Approval.
7. Observe that the request is not listed for approval and appears in Purge Progress & Results with status "Failed" and "0 of 1 approved".

Retention Time Configuration for the selected DRTM MDF Custom Purge Object contains a Country/Region entry that is inactive; when resolving country-specific retention for a single-user request, the system cannot load the inactive reference and the request fails before approval.

To resolve the issue, ensure that no inactive Country/Region entries are referenced in the Retention Time Configuration of the affected DRTM MDF Custom Purge Object.

Option 1: Remove inactive Country/Region entries

• Navigate to: Admin Center → Manage Data → DRTM MDF Custom Purge Objects
• Open the relevant purge object
• Select Take Action → Make Correction
• Remove any Retention Time Configuration rows referencing inactive Country/Region records
• Save the changes

Option 2: Reactivate the referenced Country/Region

• Navigate to: Admin Center → Manage Data → Country/Region
• Open the relevant Country/Region record
• Select Take Action → Make Correction
• Set the status to Active
• Save the changes

After performing one of the above actions:

• Re-run the DRTM Employment Information Purge
• Set Subject Criteria = Select one user
• Verify that the purge request proceeds to approval successfully

Note:
A code fix is planned for the 1H 2026 release to automatically skip inactive Country/Region entries and generate an error log. Please refer to this KBA for future updates.
