3739787 - Offboarding custom task data reused during Rehire

A custom task is configured in Offboarding where the offboardee enters details. After the employee is terminated and later rehired, upon a subsequent termination, the previously entered details in the custom task are retained and displayed again instead of being reset.

Here are clear Steps to Reproduce in points:

1. Configure a custom task in the Offboarding process that allows the offboardee to enter details.

2. Initiate Offboarding for an employee.

3. Complete the custom task by entering and saving the required details.

4. Complete the Offboarding process and terminate the employee.

5. Rehire the same employee in the system.

6. Initiate Offboarding again for the rehired employee.

7. Navigate to the same custom task in the new Offboarding process.

8. Observe that the previously entered details are still populated instead of being blank/reset.

This is an expected behavior

This is an expected behavior. Since the candidate had already completed the custom task earlier, the system retains the submitted information. Even though the candidate was terminated and the employment is no longer active, once a custom task is completed, the system continues to retrieve the previously submitted data linked to that record.

This occurs because the relevant data is stored in Manage Data.

You can verify this by navigating to:
Manage Data >> Custom Task >> Search using the employee name

As the candidate had already completed the task previously, it is expected that during a subsequent completion, the previously entered data will be pre-populated.

Possible Workarounds:

• Manually delete the pre-populated data during the second completion and re-enter the required details.

• After the candidate is terminated, delete the corresponding record from Manage Data (if compliant with business requirements), so that the data is not carried forward during rehire.

Recommendation:

If this functionality does not meet your business requirements, we recommend submitting an Enhancement Request in the SAP Customer Community for consideration in a future Onboarding release.
