3739909 - How to Configure Custom Workflow Notifications for Time sheet and Time Off Using Document Generation

• As of the 1H 2026 release, it is now possible to configure custom workflow notifications for Time Off, Time sheet, and Single Record Approvals using the Document Generation framework. This enhancement allows workflow notifications to include dynamic details, including but not limited to:
  • Employee name
  • Time type recorded by the employee
  • Start Time/Start Date and End Time/End Date of the absence or attendance request
• This KBA provides a sample configuration for setting up workflow notifications specifically for Time Sheet. 
• A similar approach can be applied to Time Off, with adjustments as needed.

1. Create a Document Generation Template, assign the appropriate workflow category, and link it to a Document Template Group. (The Document Template Group can be created via Admin Center → Manage Document Template.)
   
   
2. Map the placeholders to the Employee Time Sheet object in Manage Document Template Mapping tool with Direct Mapping Type. For example, the start date and end date placeholders can be mapped as below. 
   
3. Assign the Document Template Group to the Workflow Email Configuration from Manage Workflow Email Configuration tool.
   
   
4. Link the Workflow Email Configuration to the relevant workflow object.
   
   Note: For the CC role, workflow email configuration is not supported. Assign the Document Template Group directly instead.
5. To configure rules that trigger the time sheet workflow, please refer to Configuring Time Sheet Workflows.
6. Once a time sheet is submitted, the system sends an email notification based on the configured Document Generation Template.
   

For custom workflows of Time Off and Single Record Approval, a similar approach can be applied as described above to create your own custom email notification template. Then there is no change as per how to configure the workflow for Time Off and Single Record Approval.
