3742766 - Vacation Time Account Balances Disappear After Validity Change

After any configuration changes of the vacation time account type, all prior-year (for example, 2025) vacation time account balances are removed and historical balances for that year are no longer visible for the employee.

SAP Business ByDesign

1. Go to Business Configuration work center.
2. Select the Overview view.
3. Search and open “Time Accounts – ABC”(ABC Means Country).
4. Open the relevant Time Account Type.
5. Select the vacation account.
6. Edit any configuration of Vacation Time Account and save.

Observe that the prior-year vacation time account balances disappear and are no longer visible in history.

The time valuation did not run automatically after time account configuration changes, so a correction valuation/day closure run is required to rebuild the affected time account balances and carry forward postings.

1. Go to Time Administration work center.
2. Select the Regular Task view.
3. Choose the 'Run Day Closure for One Employee".
4. Select the one of the Employee.
5. Set Valuation Start Date to the date on which the relevant business configuration change was made.
6. Run and save.
7. Verify the prior-year vacation account and carry forward are restored for affected employee (use “Show: All” in Time Account Balances).

If the vacation balances are restored, then follow the below steps (administrative day closure run – correction):

1. Go to Time Administration and select the Regular Tasks view.
2. Select the Administer Day Closure Runs.
3. Create a new Day Closure Run, mark as Correction.
4. Set the Date to the end of the year prior to the missing balances:

• If vacation 2025 balances disappeared: use 31.12.2024.
• If vacation 2024 balances disappeared: use 31.12.2023.
• If earlier years are affected, use the year-end prior to the affected year (for example, the go-live prior year-end).

Now the vacation balances will be restored.
