Symptom
- Welcome candidate and onboarding notifications are sent to the primary email instead of the contact email.
- Recruiting sends emails to the contact email, creating an inconsistency with onboarding.
- If the candidate no longer has access to the primary email, onboarding communications can be missed.
Environment
SAP SuccessFactors Onboarding
Reproducing the Issue
- In Recruiting, create or use a candidate whose primary email differs from the contact email.
- Initiate Onboarding 2.0 for the candidate.
- Observe that the welcome and onboarding notifications are sent to the primary (login) email, not the contact email.
Cause
Onboarding sends welcome and onboarding emails to the candidate’s primary/login email address, not the contact email.
Resolution
- Before onboarding starts: Update the candidate’s primary email to an email they can access, then initiate onboarding so notifications go to the correct address.
- If primary email is no longer accessible and onboarding has not started: Ask the candidate to update the primary email in Recruiting or have an admin correct it, then initiate onboarding.
- If onboarding is already initiated: Contact SAP Support to request a backend script to correct the candidate’s primary email in Recruiting; after the correction, restart or reinitiate onboarding as needed so the updated primary email syncs to onboarding.
- Resend the onboarding notification after the primary email has been corrected.
- Note: This is expected behavior. The primary email serves as the unique identifier and is used for login and onboarding notifications; onboarding must be initiated using the candidate’s primary email.
