• A requirement exists to pre-set one common/default password for all new hires and include it in the external user welcome email for initial login.
• External candidates currently receive a welcome email with an option to reset their password and then log in to complete onboarding.
• Clarification is requested whether the system supports a pre-set password in the external user welcome message.

SAP SuccessFactors onboarding

1. Start onboarding for an external candidate (onboarding 2.0).
2. Observe that the external user welcome email provides a password reset link for the candidate to create a password.
3. Attempt to identify or configure an option to pre-set a shared default password to include in the welcome email.

• The system design for onboarding 2.0 requires external users to create their own passwords via a reset link (PasswordResetUrl) and does not support assigning a shared/common default password.

1. Use the standard process where the external user welcome email includes the PasswordResetUrl for self-service password creation; a shared/common default password is not supported.
2. Customize the External User Welcome Message in Admin Center > Email Notification Template Settings to add clear instructions for using the reset link.
3. If needed, resend the welcome email via Manage Onboarding Activities.
4. For individual cases only, reset an external user’s password manually via Admin Center > Reset User Password > Reset individual user password (with supplied password), and search under “External Users from Onboarding”.
5. Enable the Reset Password Support Notification so users can use the “Forgot Password” option on the login page.
6. Note: Bulk or automatic assignment of a common password is not available and is not recommended due to security and compliance considerations.
