3753238 - Process variant not assigned to external users - Onboarding

After initiating the Onboarding process for a candidate, the Process Variant is not assigned. As a result, the onboarding workflow does not progress as expected — tasks may not be generated, or the candidate may not appear correctly in the Onboarding Dashboard.

SAP SuccessFactors Onboarding

1. Initiate candidate from Recruiting
2. Candidate lands on Onboarding Dashboard
3. No tasks and onboarding program assigned

The Process Variant is not assigned because the candidate's data does not match the conditions defined in the process variant business rule. This occurs when the rule conditions are incomplete, incorrectly configured, or do not account for all possible candidate scenarios — resulting in no Process Variant being selected by the system during initiation.

Follow the steps below to resolve the issue:

1. Navigate to Admin Center → Configure Business Rules.
2. Search for and open the business rule to trigger process variant.
3. Review all rule conditions and verify they are valid, complete, and cover all applicable candidate scenarios.
4. Correct any invalid, missing, or incomplete conditions as needed.
5. Save the updated rule.

1. Navigate to Admin Center → Update Process Flows for Onboarding and Offboarding.
2. Select the Service User and confirm the process is deployed successfully.

1. Navigate to the Onboarding Dashboard and locate the affected candidate.
2. Restart the Onboarding activity for the candidate.
3. Verify that the Process Variant is now correctly assigned and that the expected onboarding tasks are generated.
