3754633 - Alumni access shows 'unavailable' after termination

Symptom

Alumni Access displays as "Unavailable" in the Offboarding dashboard for a terminated user.

Environment

Reproducing the Issue

  1. Configure Alumni Access, including the Alumni Activation Email Template in IAS.
  2. Terminate a user with a future termination date
  3. Open the Offboarding dashboard and check the Alumni Access status after 2 days of termination.

Cause

The alumni initiation business rule evaluates to false. so the user is not considered eligible, and the alumni process is not initiated.

Resolution

  1. Review the alumni initiation business rule in Onboarding and adjust the rule conditions so the intended terminated users meet eligibility.
  2. Ensure Offboarding prerequisites are satisfied:
  3. The Offboarding process is active for the user and includes the Employee Data Review step.
  4. The Employee Data Review step is Completed.
  5. All Offboarding tasks (including optional tasks, if applicable) are completed before the termination date.
  6. After Offboarding completion, run the HRIS Sync job.
  7. Run the Onb2ConvertTerminatedEmployeeToAlumniJob and confirm it completes successfully.
  8. Allow two days after the termination date for conversion and then verify that the user is converted to Alumni and that Alumni Access no longer shows as "Unavailable".
  9. Confirm the Alumni Activation Email Template is correctly configured in IAS and verify that the activation email is sent and received.
  10. If the issue persists after these steps, contact support with updated logs and rule details.
