Symptom
- When posting petty cash expenses, the system generates multiple credit line items along with multiple debit lines for one petty cash account.
- Another petty cash account posts one credit line against multiple debit expense lines as expected.
Environment
- Product: SAP S/4HANA Cloud Public Edition
- Cash Journal (Public Cloud)
Reproducing the Issue
- Post petty cash expenses in the affected petty cash cash journal (for example via app Post Cash Journal).
- Observe that the FI follow-on document contains multiple cash (credit) line items along with multiple debit lines.
Cause
- In FI follow-on documents, the cash line item is split when split items differ by Assignment number, or by Business Area if business area financial statements are active. Different Assignment values were entered across expense lines, which prevented aggregation and led to multiple cash credit lines. This is standard system behavior.
Resolution
- Review the Assignment field values on all cash journal expense line items that belong to the same posting.
- If a single cash credit line is desired, ensure all expense line items share the same Assignment value (or maintain it consistently) so the system can aggregate the cash line.
- If you need to capture supplier- or transaction-related details (such as a reference number), use the Reference or Text fields instead of the Assignment field to avoid unintended splitting.
- If business area financial statements are active, ensure the Business Area is consistent across the expense line items.
- Post again and verify that only one cash credit line is created against multiple debit expense lines.
