3758742 - ROOE Candidates Converted & Process Archived Before Start Date

Rehire on Old Employment (ROOE) candidates that completed onboarding and were hired are converted and process archived before their start date.

SAP SuccessFactors Onboarding

1. Navigate to Manage Data > Process.
2. Search with the id of the affected candidate.
3. Open the candidate’s process.
4. Observe the process status shows completed before the number of days defined in the archive rule.
5. Review the convert job in the BPE Monitor and note it picked up candidates for conversion prior to their start date.

We recently introduced an enhancement to improve performance and address a timezone handling gap when none of the Job Info records include a timezone for the ConvertExternalUserOnStartDate Job.

During validation, we identified an issue in the enhanced Conversion job that affects Future Rehire ROOE candidate filtering. To avoid any unintended impact, we have disabled this feature toggle across all data centers, and the older conversion logic is now running for all customers.

This scenario applies exclusively to ROOE candidates whose MPH has been completed and whose Onboarding Process status is marked as Hired and Process status is marked as Completed.

1. Case 1 — User Status: Active (t) | Process Status: COMPLETED
   • If any pending e-Signature or Compliance tasks remain:
   • The Process status can be changed to OPEN. Navigate to Manage Data > Process > Search with user id of candidate or process id > Click Take Action > Make Correction > Change Process Status to Open
   • Then via Onboarding Dashboard or the New Hire Journey page, allowing the candidate to complete the outstanding tasks.
   • No backend intervention required.
     
     
2. Case 2 — User Status: Pre-Start (f) | Process Status: COMPLETED | No Pending Items
   • If no pending tasks remain in the Onboarding Dashboard:
   • No immediate action required.
   • The candidate account will become active automatically on the actual start date.
     
     
3. Case 3 — User Status: Pre-Start (f) | Process Status: COMPLETED | Pending Tasks Must Be Completed Before Start Date
   • If there are outstanding tasks that are mandatory before the actual start date, a script must be raised to perform the following backend data corrections.
