3760953 - Terminated Employees Not Converted to Alumni Users in SAP SuccessFactors Onboarding

• Employee is successfully terminated via Offboarding
• However, the user is not converted to an Alumni user
• Alumni portal access is not available
• In Manage Data → AlumniProcess, the record may show:
  • Status = Not Started

1. Employee is successfully terminated via Offboarding
2. However, the user is not converted to an Alumni user

The conversion of terminated employees to Alumni users depends on background job execution and configuration.

This issue may occur due to one or more of the following:

• The job ONB2ConvertTerminatedEmployeeToAlumniJob is not scheduled or not executed
• The Alumni Process is created but remains in Not Started status
• The employee does not meet conditions defined in the Initiate Alumni Process business rule
• Required prerequisites (such as Offboarding configuration or Employee Data Review step) are not met

Verify Alumni Process Record

• • Go to Manage Data
  • Search for object: AlumniProcess
  • Check:
    • Process status
    • Start date (should be post termination date)

Check Job Configuration

• • Ensure job is scheduled in Provisioning:
    • ONB2ConvertTerminatedEmployeeToAlumniJob
  • This job:
    • Picks users with:
      • Status = Not Started
      • Start Date ≤ current date
    • Converts them to Alumni users

Validate Business Rule

• • Navigate to:
    • Configure Business Rules
  • Review rule:
    • Initiate Alumni Process
  • Ensure conditions allow employee eligibility

Verify Offboarding Configuration

• • Ensure:
    • Offboarding is enabled
    • Employee Data Review step is included in process

Check Prerequisites

• • Personal email is maintained in employee profile
  • IAS/IPS integration is properly configured (if applicable)

Additional Information

• By system design, employees are converted to Alumni users after termination (typically next day) when the job runs successfully
• If the job is not executed, the status remains unchanged
