- While initiating onboarding for a former employee:
- System initially detects a rehire match
- However:
- User selects “Proceed as New Hire”
- After cancelling and restarting onboarding:
- System no longer identifies the existing inactive profile
- Onboarding proceeds as a New Hire instead of Rehire

Reproducing the Issue
- Initiate onboarding for a candidate who has an existing inactive user profile (former employee).
- System identifies a potential rehire match.
- Select “Proceed as New Hire”.
- Cancel the onboarding process.
- Repeat the onboarding initiation for the same candidate multiple times, with variations such as cancellation and restart.
- Observe that in subsequent attempts, the system may not consistently identify the existing inactive profile.
- Onboarding proceeds as a New Hire without triggering rehire verification.
Cause
- Multiple onboarding attempts (including cancellations and restarts) on the same candidate may lead to:
- Multiple onboarding process records being created
- Mixed hire types (e.g., New Hire and Rehire) across processes
- This can impact the system’s ability to consistently:
- Identify the inactive user profile
- Trigger the Rehire Verification step
- As a result, the system may treat the candidate as a new hire instead of detecting a rehire match
Resolution
To ensure correct rehire processing:
1. Cancel Active Onboarding Process

- Cancel any ongoing onboarding process created as New Hire
2. Clean Up Existing Data

- Perform Master Data Purge for the inactive external user
- This removes:
- Cancelled onboarding processes
- Associated candidate data causing inconsistency
3. Re-initiate Onboarding

- Start onboarding again using:
- Candidate details matching the previous (inactive) profile
- Start onboarding again using:
4. Verify Rehire Detection

- Ensure system triggers:
- Rehire Verification step
- Select appropriate hire type:
- Rehire with New Employment or Rehire with Old Employment
- Ensure system triggers:
