3763090 - How to Verify Eligibility and Enable SAP Document AI, Embedded Edition - Onboarding

To enable SAP Document AI, Embedded Edition in SAP SuccessFactors Onboarding to automate document data extraction during the onboarding process. The Enable SAP Document AI, Embedded Edition setting is available on the Onboarding General Settings page, but enabling it requires license verification and a multi step setup in SAP BTP and Identity Authentication.

This article provides guidance on how to verify whether the tenant is licensed and eligible to use the feature, and on the prerequisites and configuration steps required to enable it.

Complete both checks before purchasing or enabling the feature.

Data center availability

1. Confirm the tenant's data center supports SAP Document AI in the SAP Discovery Center: SAP Discovery Center, SAP Document AI

License entitlement

1. SAP Document AI, Embedded Edition is a Premium AI feature. It consumes AI units when extracting data, so visibility of the toggle in Onboarding General Settings does not imply entitlement.
2. Confirm with your SAP Account Executive that the AI units license is active on the account, and purchase it if it is not.

Enablement sequence

Complete these steps in order. Steps 1 to 7 are performed in SAP BTP and Identity Authentication; step 8 is performed in the SuccessFactors UI.

1. Enable SAP Identity Authentication on the SuccessFactors tenant.
2. Create the SAP Document AI service instance in the SAP BTP cockpit.
3. Establish trust between BTP and the same Identity Authentication tenant used by SuccessFactors.
4. Subscribe to the SAP Document AI Workspace with Identity Authentication service.
5. Create the Application API dependency between the SuccessFactors application and the SAP Document AI application.
6. Configure the Manage OIDC Client Application settings.
7. Create the SAP Document AI Integration Destination settings.
8. In Admin Center, go to Onboarding General Settings and switch Enable SAP Document AI, Embedded Edition to ON.

After enablement

1. Monitor AI unit consumption through the "Reviewing Consumption Summary of AI Units" report in the tenant.
