Symptom

When a user attempts to edit new hire data from the Onboarding Dashboard, a validation message blocks the action. The message indicates that a Manage Pending Hires process is in progress for the candidate and directs the user to the Manage Pending Hires page to make changes.

Error: You can't edit the information because the Manage Pending Hires process is in progress for the new hire. To edit the new hire's information, go to the Manage Pending Hires page.

Reproducing the Issue

  1. Log in to the instance with a user who has permissions to process onboarding.
  2. Navigate to the Onboarding Dashboard and locate the candidate.
  3. Select Actions > New Hire Data for the candidate.
  4. Observe that the validation message is displayed and the data cannot be edited.

Cause

The Manage Pending Hires process creates a draft record when an HR user begins a hiring flow (Add New Employee or Rehire) without completing it. While this draft exists, the new hire record is locked against edits from other locations to prevent data conflicts between the in-progress hiring transaction and concurrent modifications. The system enforces this lock by returning the validation message when editing is attempted outside of Manage Pending Hires.

If the draft was created by a different user, it does not appear in the current user's Manage Pending Hires view by default, making the lock appear invisible until the appropriate Role-Based Permission is granted.

Resolution

The editing restriction is resolved by acting on the draft in Manage Pending Hires: either completing the hiring flow or deleting the draft. The new hire record remains locked until one of these actions is taken.

  1. In Admin Center, search for Manage Pending Hires in the Tools search field and open the page.
  2. Locate the candidate and look for the In Draft icon next to their record.
  3. Open the record and choose one of the following actions based on whether the hire should proceed: a. To complete the hire: select Add New Employee or Rehire (as applicable) and complete all required steps and workflow approvals. b. To remove the draft: delete the draft if the hiring action is no longer needed.
  4. If the draft does not appear in Manage Pending Hires, it was saved by a different user. Have an administrator navigate to Admin Center > Manage Permission Roles, locate the relevant permission role, and enable Allow Users to manage all drafts including those saved by others under the Onboarding permissions. After the permission is granted, return to Manage Pending Hires and locate the draft.
  5. After the draft is completed or deleted, return to the Onboarding Dashboard, select Actions > New Hire Data for the candidate, and confirm that the data is now editable.

After completing or deleting the draft in Manage Pending Hires, the new hire record is no longer locked and can be edited from the Onboarding Dashboard. If the draft does not appear after granting the permission in step 4, verify that the candidate's onboarding process is still active and has not been cancelled.
