3764874 - Unable to grant Super Admin Access to BizX users under Manage Super Admin Access

Symptom

The system fails to grant "Manage Learning Admin Access Permission" to super admin users in certain customer instances. 

Environment

Reproducing the Issue

  1. Log in BizX.
  2. Navigate to "Manage Super Admin Access" in BizX.
  3. Find the affected user.
  4. Open its record.
  5. The option to grant the missing permission is greyed out.

Cause

Our new feature since b2605 is designed to create a predefined permission group named "Learning Administrators" for system use. We assumed this group name would not exist in customer systems. However, some customers have already created their own permission group with this exact name. This naming conflict prevents our predefined group from being created, which blocks the system from granting the Manage Learning Admin Access Permission to super admin users.

Why We Recommend Customer Rename (Instead of Data Migration)

While we could perform a backend migration to resolve this conflict, it would involve:
  - Complex handling of group_id mapping data
  - Potential security risks during data transformation
  - Higher operational complexity for both customers and our support team 

The safer and simpler approach: Ask customers to rename their existing group to free up the name for our predefined system group.

Benefits of this approach:
  -  Only the group name changes – all existing group_id mappings remain unchanged
  -  Zero impact on existing permissions, role assignments, or historical data
  -  No security risks associated with data migration
  -  RBP Self Healing automatically creates the predefined group once the name becomes available
  -  One-time manual operation with minimal effort 

Resolution

To resolve the issue, please follow the steps below:

  1. Rename the Existing Permission Group
    1. Navigate to: Admin Center → Manage Permission Groups
    2. Locate the customer-created group named "Learning Administrators"
    3. Rename it to another descriptive name (e.g., "Learning Administrators - Custom", "Learning Admins", "Training Administrators", etc.)
    4. Save the changes
  2. Trigger System Recovery
    1. Run the "RBP Self Healing Job"
      - This system job will detect that the "Learning Administrators" name is now available
      - It will automatically create the required predefined group for system use
    Note: This job will be run overnight automatically. No actions from customers' side. Customers can check the change the next day.
  3. Grant Permissions
    1. Navigate to: Manage Super Admin Access page
    2. Grant the "Manage Learning Admin Access Permission" to the affected super admin user(s)
    3. Verify the permission is successfully granted
