3773579 - Onboardees Do Not Appear in Proxy Management Selection List - Onboarding

When attempting to proxy as an onboardee through Proxy Management to assist with the completion of new hire tasks, the onboardee does not appear in the user selection list. No error message is displayed

SAP SuccessFactors Onboarding

1. Navigate to Admin Center and search for Proxy Management in the tools search field.
2. In Proxy Management, select the user who will act as the proxy.
3. In the selection list for the user to be proxied, search for the onboardee by name.
4. Observe that the onboardee does not appear in the list.

Proxy functionality in SAP SuccessFactors is supported only for internal users. Onboardees are classified as external users in the system for the duration of the onboarding process and do not hold an internal user account until their onboarding is completed and the record is converted. Because external users are not eligible for proxy access, onboardees do not appear in the Proxy Management selection list regardless of permission configuration.

Proxying onboardees through Proxy Management is not supported because onboardees are classified as external users during the onboarding process. No permission configuration or Role-Based Permission grant can enable this functionality; the limitation applies at the user type level.

If tasks need to be completed on behalf of the onboardee, contact the onboardee directly and request that they complete the required activities. If the tasks are blocked by a technical issue preventing the onboardee from accessing them, investigate and resolve the underlying access or configuration problem separately.

If the ability to proxy onboardees is needed as a product feature, submit an enhancement request through the SAP Influence Portal.

Note: Once the onboarding process is complete and the onboardee record is converted to an internal user account, standard Proxy Management functionality applies and the user can be proxied normally.
