3774718 - Is it Possible to Generate Visits from Routes In Preparation?

Symptom

It is desired to know whether it is possible to bypass the Activate step in the Route process.

Specifically, it is requested to determine whether Visits can be generated directly from a Route with status In Preparation, without first changing the Route status to Activated.

The expected behavior is that selecting Generate Visits would be sufficient to proceed with Visit generation, eliminating the need to manually perform the Activate step beforehand

Reproducing the Issue

  1. Go to Visits > Routes
  2. Open a Route which is In Preparation
  3. Click on Actions > Activate
  4. Then click on Generate Visits
  5. Customer would like to skip the Activate button to reduce number of steps.

Cause

The Activate step is designed to validate Routes and ensure that all mandatory information has been properly assigned. As such, it is a required step before Visits can be generated.

When a Route is initially created, some information is already provided, such as the Route Type, Date and Time, and Sales Data. However, additional details—most importantly the Accounts to be visited—are typically added after the Route has been created.

If a user attempts to activate a Route without assigning any Accounts, the system will display an error message and prevent activation. This ensures that Visits cannot be generated for a Route that does not have a designated customer.

Therefore, the activation process functions as a consistency and validation check for all Route types and cannot be bypassed.

Prior to Visit generation, an activated Route can still be modified by changing its status back to In Preparation and making the necessary updates. However, once Visits have been generated, the Route status can no longer be changed. Consequently, the Route itself can no longer be edited, preventing inconsistencies between the Route and the generated Visits.

Resolution

This is the system expected behavior.
