Questions regarding the Digital Access License in SAP S/4HANA Cloud Public Edition, such as:
- Is the Digital Access license period based on the fiscal year or the subscription/contract period?
- How is the license entitlement determined in the License Compliance app?
- Under what conditions is the Digital Access license considered to be exceeded?
- For multi-year contracts, is the entitlement evaluated annually or over the entire contract period?

Resolution
1. License Period
The Digital Access license period is based on the subscription/contract period, not the fiscal year. The License Compliance application determines the applicable license entitlement using the license validity dates stored in the system.
When a Start Date and End Date are entered in the License Compliance application:
- The application retrieves the license entitlement records that are valid for the selected period.
- It also retrieves the Digital Access usage counts for the same period across the supported document types and displays the information.
2. Usage Limits
- The License Compliance application does not indicate whether the licensed entitlement has been exceeded.
- This is because the license entitlement information stored in SAP S/4HANA Cloud may not reflect the latest commercial entitlement.
- The correct license entitlement should be verified in SAP for Me, while the License Compliance application can be used to review Digital Access usage records for any selected period.
- The application provides Start Date and End Date input fields to retrieve usage records for a specific period. The document consumption records maintained in SAP S/4HANA Cloud are independent of the stored license entitlement records.
3. Custom Business Objects (CBO)
When a custom application running on SAP Business Technology Platform (SAP BTP) creates or updates records in Custom Business Objects (CBOs) in SAP S/4HANA Cloud Public Edition using APIs:
- API calls performed using a Communication User are treated as external calls by the Digital Access framework.
- Accordingly, these API calls are considered Digital Access license usage.
