Symptom
The quantity field for a sales order line item is disabled and non-editable.
Environment
SAP Business ByDesign.
Reproducing the Issue
- Go to the Sales Orders work center and open the Sales Orders view.
- Search for the Sales Order ABC (ABC represents the sales order ID).
- Navigate to the Items tab and observe that the item quantity field is disabled and cannot be changed.
Cause
The Sales Order line item is already in In Process status because the corresponding Customer Demand has been released. Once the line item is linked to subsequent logistics processing, the quantity of the original Sales Order line item can no longer be changed.
Resolution
Since the quantity of an existing Sales Order item cannot be changed after it enters In Process, you may choose one of the following solutions.
Solution 1 – Create a Copy of the Sales Order
- Open the existing Sales Order ABC.
- Choose Copy to create a new Sales Order XYZ(XYZ is the new Sales Order's ID number).
- Maintain the correct quantity for the line item in the Quantity field under the Items tab.
- Cancel the original Sales Order ABC if it is no longer required.
This is the recommended approach when the entire Sales Order needs to be recreated.
Solution 2 – Add a New Line Item and Reject the Original Line Item
If only one line item needs to be corrected:
- Add a new line item to the Sales Order.
- Enter the correct quantity.
- Save the Sales Order.
- Maintain a Reason for Rejection for the incorrect line item.
Note: If the Sales Order contains only one line item, adding the new line item must be completed before maintaining the Reason for Rejection. Otherwise, the Sales Order will be completed automatically after the original line item is rejected, preventing any new line items from being added.
This approach retains the existing Sales Order while replacing the incorrect line item with a new one.
