3779287 - Instance Refresh: Integration Center job validation fails for Employee Sync between SAP SuccessFactors HCM Suite and SAP SuccessFactors Learning

When attempting to schedule a refresh using the Instance Refresh Tool and selecting the "Employee Sync Through Integration Center Job" option under "Configure User or Employee Sync Between SAP SuccessFactors HCM Suite and SAP SuccessFactors Learning", the Integration Center job validation fails with the following error message:

Error: The Integration Center job validation has failed. Verify that the job name configured in Integration Center is correct and try again.

1. Open the Instance Refresh Tool in SAP SuccessFactors.

2. Choose Configure User or Employee Sync Between SAP SuccessFactors HCM Suite and SAP SuccessFactors Learning.

3. Select Employee Sync Through Integration Center Job.

4. Enter the Integration Center job name and start the validation or attempt to schedule the refresh.

5. Observe that the validation fails and the error message is shown. 

The Instance Refresh Tool performs a validation of the Integration Center job configuration prior to scheduling an employee synchronization refresh. The validation checks for the following mandatory conditions:

  •  The Destination File Name must contain user_data.
  •  The Starting Entity must be set to USER.

If either condition is not satisfied, the validation fails and the refresh cannot be scheduled.

Verify and reconfigure the Integration Center job according to the requirements below. Both conditions must be met for the validation to pass.

Step 1 — Verify the Destination File Name

Requirement: The Destination File Name must contain user_data.
How to verify:
1. Open the Integration Center job configuration.
2. Navigate to Destination Settings → File Name.
3. Confirm that the file name includes user_data as a substring (e.g., user_data_export.csv).
4. If the file name does not contain user_data, update it accordingly and save the job.

Step 2 — Verify the Starting Entity

Requirement: The Starting Entity must be set to USER.
How to verify:
1. Open the Integration Center job configuration.
2. Navigate to the Configure Fields page.
3. Verify that the Starting Entity is set to USER.
4. If the Starting Entity is not USER, update the configuration accordingly and save the job.

 

If either of the conditions above is not met, the Integration Center job validation will fail and the refresh request cannot be scheduled. Once both conditions are satisfied, re-attempt to schedule the refresh from the Instance Refresh Tool.
