3780848 - Different hire template for onboardee and admin - Onboarding

• For the same onboarding process, the admin sees one hire template in Provide Personal Data, while the candidate sees a different template in Personal Data Collection.
• Hire template assignment was configured via a rule based on an employee subgroup value.
• No error message is displayed.

SAP SuccessFactors Onboarding

1. Go to the Onboarding dashboard as an admin.
2. Open the Provide Personal Data task for the affected onboarding process and select View Details to see the hire template shown to admin.
3. In another browser/session, sign in as the candidate.
4. Open Personal Data Collection and observe that a different hire template is shown to the candidate.

The personal data collection template assignment rule used a field (employee subgroup) that external candidates cannot see. As a result, the system applied the default template for the candidate view.

1. Review the Personal Data Collection (PDC) template assignment rule in Configure Business Rules.
2. Ensure all rule conditions reference attributes that are visible to external candidates by default (for example, Job Information company).
3. If a custom MDF field must be used, enable external candidate visibility for that field (for example, set mdfSystemExternalUserVisibility = Yes via a business rule and run the relevant external visibility job).
4. Save and activate the updated rule.
5. Start a new onboarding process to test. Note: the template is determined when you start onboarding or provide additional data; existing processes will not retroactively change template selection.
6. Verify that the same hire template is shown to both admin (Provide Personal Data) and candidate (Personal Data Collection).
