Symptom
When trying to remove or cancel a user's registration from a MS Teams class, an error happens:
- "Exception from Teams: Forbidden: 3003: User does not have access to lookup meeting: Exception while unEnrollStudents Teams meeting"
Environment
SAP SuccessFactors Learning
Reproducing the Issue
- Log into HCM >
- Navigate to Learning Administration >
- At Learning Activities > Classes > search for the required VLS class and open its record >
- At the class's Registrations tab, search for the user in question >
- At the Actions column, click on the three dots and click on Edit >
- Change the user's registration status to Cancelled >
- When clicking on 'Save', a pop-up with the error is shown and the user's registration remains unchanged >
- Still within Learning Administration, at People > Users > search for the user in question and open its record >
- At the user's record, click on the Actions button at the header and select the option Manage Registration >
- At the wizard, find the class to be removed and check the 'Withdraw' option for the user that should be removed >
- When trying to finish the removal, an extensive error log is shown (but the main error message is the same) and the user remains registered in the class.
Cause
As per Engineering team, if the user/instructor associated to the class is deleted from the Microsoft Teams environment, it's not possible to update nor perform any operation on sessions (classes) that were created using that user's/instructor's credentials. This happens because Microsoft Teams will not allow any operation once the user is deactivated.
The recommendation is to make sure all classes are updated before deactivating a Teams user.
Resolution
The options proposed by Engineering team are the following:
- Create a new class: Enable VLS settings for the class, using a new instructor and re-register the users for a clean state. This is the better option from Engineering's perspective;
- Reuse the same class: If there is a valid reason as to why the same affected class needs to be used, Engineering can delete the VLS session from that class through a script. Afterwards, the VLS settings will need to be re-enabled for the class by a Learning admin, using a new instructor (at the classes' records > Agenda tab, re-enable the VLS settings using a valid instructor).
In case a script is needed, please open a ticket under the LOD-SF-LMS-VLS component, providing a valid reason for it and all the class IDs that are affected by the error.
