3786703 - Approved Quotes Return to "In Approval" Status Without an "Approved -> In Approval" Workflow Transition

Symptom

  • An approved quote automatically changes back to In Approval after being edited.
  • The Audit Trail shows that the quote status changed from Approved to In Approval, even though no workflow transition is configured between these statuses.

Environment

SAP CPQ

Reproducing the Issue

  1. Configure approval rules with an Approval Calculation.
  2. Create and approve a quote.
  3. Edit the approved quote.
  4. Save the changes.
  5. Result: If the value used by the Approval Calculation changes, the quote automatically returns to the In Approval status.

Cause

  • This behavior is expected by design.
  • When a quote is approved, SAP CPQ stores a snapshot of the value used by the Approval Calculation configured on the approval rule.
  • When the approved quote is edited, SAP CPQ recalculates the Approval Calculation value and compares it with the stored snapshot.
  • If the recalculated value differs from the stored value, the previous approval is considered no longer valid, and the quote is automatically returned to In Approval for reapproval.
  • This status change is not performed through a workflow transition. Therefore, no Approved → In Approval transition is required in the workflow configuration.

Resolution

  1. Review the approval rules applied to the affected quotes and verify whether an Approval Calculation is configured.
  2. Identify the value used by the Approval Calculation and verify whether it changes after the quote is edited. The Audit Trail can be used to assist with this verification.
  3. Check whether any custom fields, calculations, or scripts executed during quote editing modify the value used by the Approval Calculation.
  4. If approved quotes should not return to the In Approval status after editing, review the Approval Calculation configured on the relevant approval rules and adjust the approval logic as required.
  5. No product correction is required because this behavior is expected by design.
