• Final Review step is assigned to fewer users than expected
• Not all users from the responsibility group are visible in the workflow step
• Example: Only 2 users are assigned instead of 4 configured users

SAP SuccessFactors Onboarding

1. Configure a responsibility group with multiple users (e.g., 4 users)
2. Assign the group to the Final Review step in onboarding process
3. Initiate onboarding for a candidate
4. Navigate to the Final Review step
5. Observe that only a subset of users are assigned

This behavior occurs due to the current configuration of the Responsibility Group.

• The system assigns users based on the active configuration in:
  • Manage Data → ResponsibilityConfig
  • Onboarding General Settings → Responsible Users
• If only a subset of users is maintained in the responsibility group at runtime, only those users will be assigned to the step
• The system does not reference historical or expected configurations - only the currently configured users are considered

1. Verify Responsibility Group Configuration

• Navigate to: Manage Data → ResponsibilityConfig
• Search for the relevant group (e.g., ONB_group)
• Confirm the list of assigned users

2. Check Onboarding Responsible Users Mapping

• Go to: Onboarding General Settings → Responsible Groups
• Search for the same group
• Verify the users maintained

3. Update Configuration (if required)

• Add the missing users to the responsibility group
• Save the changes

4. Validate

• Trigger a new onboarding process
• Confirm that all expected users are assigned to the Final Review step

Note:

• Workflow steps use the current responsibility group configuration at runtime
• Changes to the group do not retroactively update already completed or in-progress steps
• Ensure consistency between ResponsibilityConfig and Responsible Users configuration
