• Onboarded candidates are not visible to internal users on the dashboard
• Permission group Active Membership count shows as zero
• Users are unable to access onboardee data despite successful onboarding initiation

SAP SuccessFactors Onboarding

1. Configure a Permission Group with filters (e.g., Business Unit)
2. Assign the group as Target Population in Role-Based Permissions
3. Initiate a candidate from Recruiting
4. Complete onboarding initiation
5. Observe:
   • Candidate is not visible to users
   • Active Membership count remains zero

This issue occurs when permission group filters rely on fields that are not populated at the time of onboarding initiation.

• The Target Population is defined using filters (e.g., Business Unit)
• If the required field value is:
  • Not passed from Recruiting, or
  • Empty at the time the candidate is initiated into Onboarding

To ensure onboardees are included in the correct permission group and visible to users:

1. Ensure Required Field Values Are Passed

• Verify that fields used in permission group filters (e.g., Business Unit) are:
  • Maintained in Recruiting
  • Passed during onboarding initiation

2. Validate Data Flow from Recruiting

• Use Suite Integration Test to confirm:
  • Required field values are correctly mapped and transferred
  • Field is populated before onboarding process starts

3. Review Permission Group Filters

• Navigate to Manage Permission Groups
• Check filter criteria (e.g., Business Unit)
• Ensure:
  • Filter conditions align with available data
  • No dependency on fields that may be empty at initiation

4. Retest the Scenario

• Initiate a new candidate from Recruiting
• Confirm:
  • Required field values are populated
  • Candidate is included in permission group
  • Active Membership count is updated
  • User is visible on the dashboard

Additional Information

• Permission group membership is determined dynamically at runtime based on filter criteria
• If field values are missing at the time of evaluation, users will not be included retroactively unless data is updated and re-evaluated
